Green Food Solutions, Empowers a New Local Food System®, by selling, installing, and maintaining urban farms using vertical hydroponic technology. We plan and design urban and commercial farms, and provide Hydroponic Agricultural Operations and System Maintenance Training to empower the next generation of farmers. We engage our local community with operating farms, farm tours & workshops in residential buildings, commercial buildings, and co-working spaces with our Farm Amenity® products and services. Job Title: Sales & Fulfillment Administrator

Compensation: $58,000 - $65,000

Job Description/Responsibilities: 

  • Sales & Fulfillment Administration (80%)

    • Field and respond to inbound inquiries, website submissions, phone calls, and social media DMs, and territory checks -direct to appropriate team members

    • Enter all submissions and incoming inquiries and contact information into CRM (Hubspot)

    • Maintain CRM deal board and customer pipeline - Prepare 2 weekly sale reports and meetings (Corporate + Franchise)

    • Take notes during owner lead sales meetings

    • Create client proposals, quotes, and invoices

    • Ensure no qualified lead goes cold

    • E-commerce order fulfillment

    • Deliver sales presentations (virtual and in-person)

    • Conduct site visits as part of sales process

    • Generate and qualify new sales leads (around town marketing, networking, outreach)

    • Provide administrative support for onboarding franchisees 

    • Provide sales training support to franchisees

    • File and organize franchisee documentation and reports

    • Represent the company at trade shows and events

    • Maintain organized digital filing systems

    • Update vendor pricing data internally

    • Develop and improve sales channels and information capture systems

    • Help improve franchise SOP documentation

    • Assist in creating and refining administrative SOPs

    • Identify inefficiencies and propose improvements

  • Marketing and Brand Execution (20%)

    • Plan and co-create social media content aligned with revenue goals

    • Create and send 3-4 monthly newsletters

    • Track engagement metrics

    • Support workshop promotion and marketing

    • Improve information capture from marketing channels

    • Capture and post social media photography and video content

Skills:  

  • Experience using CRM systems (HubSpot or similar)

  • Ability to manage multiple priorities simultaneously

  • Basic understanding of digital marketing funnels and information capture systems

  • Familiarity with CRM systems (HubSpot or similar)

  • Experience creating SOPs and internal documentation

Nice to Have:

  • Experience in sustainability, agriculture, CEA, or mission-driven organizations

  • Experience representing a company at trade shows or events

  • Social media content planning and newsletter creation experience

  • Familiarity with QuickBooks or accounting coordination

  • Experience with e-commerce fulfillment systems
